Position Title: Specialist, Membership and Chapter Relations

Reports To: Manager of Membership and Chapter Relations

Status: Non-Exempt

Position Summary:

This position will provide project support in the areas of Chapter Relations and Membership as an important part of the Marketing, Membership and Engagement Department.


  • Tracks key chapter activities including leadership updates, educational programs, social events, board of directors’ meetings, chapter visits, resources and other program segments as requested.
  • Coordinates chapter content for ASAM member connect monthly newsletter
  • Work with the Chapters to maintain a grassroots and leadership toolkit
  • Works with chapters to create chapter surveys and provides results to chapter and association leadership
  • Oversee implementation, customization and utilization of online member-exclusive communities
  • Assist with financial batching and quarterly chapter dues reconciliation
  • Responsible for chapter intelligence database and monthly report generation
  • Assists supervisor with coordinating teleconference committee meetings and preparation
  • Assist department with coordinating annual chapter elections as needed
  • Represent ASAM as needed at ASAM events, state Chapter and allied industry events
  • Provides senior staff and volunteer leadership key information and talking points in preparation for chapter meetings.
  • Development and execution of chapter leadership summit and roundtable meetings
  • Assists chapter volunteer leadership by providing customized reports and fulfilling other requests for information.
  • Conducts orientation training for new chapter administrators on the use of ASAM website, as well as ongoing training for administrators and chapter leaders on various ASAM administrative tasks
  • Identifies new ways to enhance ASAM’s ability to support chapter leaders and administrators.
  • Processes new member applications and confirm license information
  • Maintains membership database, files and communications
  • Processes changes and payment information to membership records
  • Performs monthly quality control checks to ensure data accuracy and consistency in association database
  • Responsible for performing data entry and data clean-up projects to routinely and systematically improve the database integrity
  • Generates requested member lists to key stakeholders
  • May serve as Staff liaison to assigned committees or Interest Groups
  • Execute onboarding plan for new members
  • Provide administrative/project support for membership initiatives

Works closely with:

  • Staff, Members and Committees

Education and Experience:

  • Experience working with professional societies and associations is preferred.
  • Bachelor’s degree preferred.

Skills and Abilities:

  • Must have advanced knowledge in Microsoft Excel including pivot tables for presentations
  • Comfortable working with numbers and able to reconcile transactions.
  • Ability to efficiently handle multiple priorities in a fast-paced environment with attention to detail.
  • Good interpersonal skills with ability to interact effectively, efficiently and professionally with individuals at all levels of the organization.
  • Limited travel required to chapter meetings and ASAM live events
  • Excellent written, organizational, communication and customer service skills are required.
  • Resourcefulness and creativity valued.
  • Team player with positive attitude, enthusiastic energy and ability to have fun with team members.

Recruiting Salary Range: $40K - $43K (with a robust benefits package)
