Position Title: Coordinator, Membership and Chapter Relations

Reports To: Manager, Membership and Chapter Relations

Status: Non-Exempt

Position Summary:

This position will provide administrative and project support in the areas of Membership and Chapter Relations and works as an important part of the Marketing, Membership and Engagement Department.


Responsibilities/Duties:

Membership
  • Process new member applications and confirm license information
  • Execute onboarding plan to welcome and integrate new members
  • Lead member service contact for membership-related issues
  • Assist in maintenance of membership database, files and communications
  • Process changes and payment information to membership records
  • Performs monthly quality control checks to ensure data accuracy and consistency in association database
  • Responsible for performing data entry and data clean-up projects to routinely and systematically improve the database integrity
  • Generates member list to disseminate to outside vendors and others
  • May serve as Staff liaison to assigned committees
  • Provide administrative/project support for membership initiatives
Chapters
  • Assists supervisor with daily financial batching and quarterly chapter dues reconciliation
  • Responsible for chapter intelligence database and report generation
  • Assists supervisor with coordinating online committee meetings and preparation
  • Assist department with coordinating annual chapter elections as needed
Administrative
  • Communicates with customers, employees, and other individuals to answer questions, disseminate or explain information, process orders and address customer needs
  • Monitors and responds to ASAM membership general email box
  • Other duties as assigned

Works closely with:

  • Staff, Members and Committees

Education and Experience:

  • One to two years of experience working in a Membership and/or chapter department or in a general administrative support capacity within an association.
  • Experience working with professional societies and associations is preferred.
  • Bachelor’s degree preferred.

Skills and Abilities:

  • Must have advanced knowledge in Microsoft Excel including pivot tables for presentations.
  • Comfortable working with numbers and able to reconcile transactions.
  • Ability to efficiently handle multiple priorities in a fast-paced environment with attention to detail.
  • Good interpersonal skills with ability to interact effectively, efficiently and professionally with individuals at all levels of the organization.
  • Excellent written, organizational, communication and customer service skills are required.
  • Resourcefulness and creativity valued.
  • Team player with positive attitude, enthusiastic energy and ability to have fun with team members.

Recruiting Salary Range: $39,000 - $42,000 (with a robust benefits package)
